Job Description: Admin Specialist, Product & Projects
Role Type: 6-Month Contract
Schedule: Monday - Friday 9:30am-5:30pm
Reports To: Ownership / Buying / Operations
Contract Term: Six months, with the option to extend into a permanent role
Role Summary
We are looking for a highly organized, detail-oriented Admin Specialist to support product, purchasing, inventory, ecommerce, and FF&E project administration across vintage, contemporary, and new vendor goods.
This is a full-time contract role, with the opportunity to grow into a permanent position as the product and project pipeline develops.
The Admin Specialist will help manage incoming purchases, product information, cost and retail documentation, quote requests, purchase orders, shipment tracking, ecommerce preparation, showroom readiness, and project budgets.
Key Responsibilities
Product & Purchase Management
  • Organize incoming product purchases for vintage, contemporary, and new vendor goods.
  • Collect and maintain product details including vendor, product name, category, cost, quantity, dimensions, condition, shipping, duties, and lead times.
  • Track products from purchase through receiving, pricing, photography, online listing, showroom availability, and sale.
  • Ensure all product information is complete, accurate, and easy for the team to reference.
FF&E Project Administration
  • Support FF&E projects from budgeting through ordering, tracking, delivery, and final documentation.
  • Create and manage project budgets, including product costs, freight, duties, taxes, installation, and other related expenses.
  • Prepare, issue, and track purchase orders.
  • Coordinate with vendors, suppliers, freight partners, and internal teams.
  • Track shipment status, lead times, backorders, delivery updates, and project timelines.
  • Maintain organized project documentation including budgets, quotes, invoices, approvals, purchase orders, and tracking notes.
Quote Management
  • Manage incoming quote requests for contemporary goods.
  • Review vendor catalogs, price lists, tear sheets, and product specifications.
  • Gather product details including pricing, dimensions, finishes, materials, availability, freight, duties, and lead times.
  • Track quote status, approvals, follow-ups, and next steps.
Cost, Retail & Inventory Documentation
  • Create and maintain cost, retail, and budget documents for incoming products, vendor quotes, and project items.
  • Track landed costs, wholesale costs, shipping, duties, restoration costs, markup, retail pricing, margin, purchase order status, inventory status, and project status.
  • Keep documentation current as products and project items move through the pipeline.
Pricing & Ecommerce Support
  • Support pricing strategy through market research, comparable products, condition, rarity, brand value, materials, and customer demand.
  • Recommend pricing that supports healthy margins and aligns with the showroom.
  • Prepare product information for ecommerce listings, including names, descriptions, pricing, dimensions, materials, condition notes, and inventory details.
  • Work with photography, web, merchandising, and sales teams to ensure products are accurately represented online.
Showroom Readiness
  • Ensure products are priced, tagged, documented, and ready for sale.
  • Communicate new arrivals, product details, pricing notes, and selling points to the showroom team.
  • Help keep showroom availability aligned with online inventory and internal systems.
Qualifications
  • Experience in administration, product coordination, project coordination, buying, merchandising, ecommerce, retail operations, inventory management, quoting, or FF&E coordination.
  • Familiarity with furniture, home goods, vintage pieces, contemporary design, FF&E, vendor purchasing, or luxury retail preferred.
  • Strong spreadsheet and organizational skills.
  • Experience managing budgets, purchase orders, vendor quotes, and shipment tracking preferred.
  • Ability to read and interpret vendor catalogs, price lists, tear sheets, product specifications, quotes, and order confirmations.
  • Strong attention to detail with pricing, budgets, dimensions, finishes, product notes, and delivery timelines.
  • Comfortable managing multiple products, quotes, orders, and projects at different stages.
  • Strong written communication skills.
  • Proactive, organized, and able to create structure around incomplete or changing information.

  • Products are organized, priced, documented, and tracked clearly.
  • FF&E projects are supported with accurate budgets, purchase orders, shipment tracking, and documentation.
  • Quote requests are handled accurately and efficiently.
  • Cost, retail, budget, and project documents are reliable and up to date.
  • Products move smoothly from purchase or quote to online listing and showroom availability.
  • Project items move smoothly from approval to purchase, shipment, delivery, and final documentation.
  • Sales, showroom, and project teams have the information they need to work confidently.
